Desktop Application
Q: Do we have to check zoom updates before starting a call?
A: It's best to check for updates an hour or so before your meeting starts. This way you have time to do the quick update (usually less than a minute), but also time to get used to any possible UI changes. Major UI changes are rare, but good to allow time if there are any.
Q: Is there a web application for Zoom?
Registration
Q: To what degree would you recommend meeting registrations via Zoom?
A: Registration does not do much to prevent Zoombombing. People can always use bogus credentials to sign up. Registrations have other benefits (there may be some psychological advantage that users are "identifiable", but again it's not a real defense against Zoombombing.
Account Settings
Q: How do I modify my Personal Meeting ID (PMID)?
A: Zoom has documentation on how to customize your personal meeting ID here. (https://support.zoom.us/hc/en-us/articles/201362843-Personal-meeting-ID-PMI-and-personal-link)
Q: How do I set my Zoom meeting room name to be my name like others?
A: This feature is no longer available with our organization's license. Only those who had established it with the license we had in the past are able to still modify their meeting room name.
Scheduling
Q: When using the Personal Meeting Room ID, can we avoid people to join before host?
A: Enable the waiting room, which would only admit participants to your room when you accept.
Q: What does “Only authenticated users can join” in the scheduler - does this mean joining with a password, or something else?
A: Something else -- this means someone who is not logged into Zoom using a username/password combo can't join. In this case, a meeting password would not be enough. In addition, this feature would allow us to restrict logins to only those users with @isoc.org and @isocfoundation.org (for example).
Meetings
Attendees
Q: Is it possible to prevent a participant from showing his/her profile video?
A: Yes, hover over the participant name and click 'More... Stop Video'
Misc
Q: Could we get a “cheat sheet” that lists which security settings we can set in each mod: Personal Settings, Schedule meetings, and In Meeting?
A: Yes, you can find it here under 'Schedule Meeting: Recommended Meeting Preferences'
Q: How do people joining by phone let the host know if they want to be unmuted?
A: They can unmute themselves and interrupt the speaker. Not ideal, however. Limited real-estate on mobile phones does, unfortunately, mean more limited functionality than on a laptop screen -- this is just the reality of the space available for functions. Future updates may focus on this aspect.
Host / Co-Host / Roles
Q: Can I make someone else a co-host during the meeting?
A: Yes, the Host can make someone a participant- participants panel > More... > Make Co-Host
Q: Is there a maximum number of co-hosts?
A: There is no limit to the number of co-hosts. However, we strongly recommend ONLY making those individuals you know personally or have otherwise verified as genuine to be Co-Hosts. They will essentially have the same rights as you in the meeting.
Meeting Capacity
Q: How many people can we have in a "normal" meeting?
A: 100 participants maximum
Q: How do I obtain a Large Meeting license? How many participants can I have in those?
A: Up to 500. Send a request to ITHelp@isoc.org for this as these licenses are more expensive and we have limited numbers. As with the Webinar license requests, these are first-come, first-served, so reserve these early!.
Waiting Room
Q: Can we get an ISOC logo sized to use on the customized waiting room?
Q: Can people in the waiting room hear the audio or see the video or chat until they are accepted in?
A: No, they will see the 'Waiting Room' screen
Q: Sometimes people participate from phones, so in a waiting room is there a way to communicate with someone to determine who they are before making a decision?
A: We cannot communicate with someone in the waiting room
Meeting Passwords
Q: I’ve been invited to meetings with passwords, but then when the call starts, I’m not prompted for the password. I just get in. Is that a bug?
A: This bug has been fixed since Zoom 5.0 - current version is Zoom 5.0.1
Webinars
Q: How do I obtain a Webinar license?
A: Send a request to ITHelp@isoc.org. Please include the anticipated date of the event - please keep in mind these are few and in high demand, and are first-come, first-served. As with other aspects of virtual events, advance planning is key.
Q: Can we eject participants from a webinar?
A: Yes - a Host or Co-Host just needs to right-click and select Remove Participant. Note that if you don't have Waiting Room enabled, or if you have not Locked the meeting, any ejected participant can just re-join.
Q: Do we limitations on the number of webinars we can run?
A: Yes -- we have limited Webinar license and those are expensive (hundreds of dollars per license, per month. Compare to $20/month for a 100-person "normal" license). Therefore please reserve your license as early as possible in your webinar-planning cycle.
Features
Q: Can we use Zoom for document sharing?
A: Filesharing disabled by ISOC IT and this setting cannot be changed even by individuals.
Q: How can we use Zoom for translation?
A: There is an option to designate participants as meeting translators. There is zoom documentation on that here.
